AUDIO AND VOTING MANAGEMENT SYSTEM

With its necessary and user-friendly functions supported chairman and delegates, this system enables the chairman to collect information and to manage conference professionally. All delegates could be able to state their opinions easily. Taking advantages of a conference system based on LAN (local area network) architecture, the chairman and conference management can directly connect and exchange information, making it an important factor in the conference success.

The audio and voting management system is designed for user authorization: chairman, secretariat, technical operator and user-delegates.

The user administration function assigns operation roles as followings:

- Chairman is responsible for controlling conference operation, to allow delegates state their opinion and take a vote
- Technical operator is responsible for running and monitoring the system
- Normal User has right to use, but not responsible for system control

MAIN FUNCTIONS

MICRO CONTROL
There are 2 modes of control:

• Automatic control: the micro is automatically turned on once the delegate wants to state his opinion.
• Manual control: the delegate asks to state by clicking on a button. Chairman will assign which delegate to state in turn. Delegate is possible to state within a specific time as chairman’s request. And chairman is possible to stop delegate.

AUTOMATIC CAMERA SYSTEM:
There are many video cameras placing on different sites. One of the cameras will be automatically turned to the delegate/speaker to make video record. The video and statement recorded will be transmitted to the main display.

VOTING CONTROL
Chairman is in charge of voting. Voting status information (delegates presented, approved, unapproved, non-voting, including number and percentage) is presented in the large display. Voting results in which involved every delegate’s opinion of every votes will be stored for later consultation

PAGING
Members of board of execution are possible to exchange information via paging. This function allows chairman to communicate directly to conference secretariat, or ask the information centre to prepare document, or connect to technical services.

DATABASE MANAGEMENT
Biodata of delegates and visitors are stored for a quick search purpose, including: name, age, profession, nationality, sex, religion, knowledge, etc.
It is possible to look for every participant by a function “Quick Search”.

DISPLAY MANAGEMENT
All necessary information will be presented in the large display, consisting of:
- Voting information
- Video and opinion of delegate in statement
- List of delegates registered for making statement
- Video of conference recorded in different view
